Practical steps to set the voice layer
Write explicit tone guidelines, not vague adjectives. “Warm but efficient, no corporate jargon, first name if known” is usable; “friendly and professional” isn’t specific enough to act on consistently.
Provide real example responses, not just rules. A handful of actual example replies in your intended voice, across a few different scenarios, trains the tone more reliably than an abstract style guide alone.
Define what NOT to do explicitly. If your brand avoids certain phrases, emoji, or overly casual language in some contexts (e.g. complaints), state that directly rather than assuming it’s implied.
